Who we are
This policy explains how Keywright Properties Ltd, registered in England & Wales, company number 16752008, registered office 83 Stratford Drive, Prescot, L34 1AN ("we", "us", "our"), trading as Keywright Properties and The Liverpool Letting Expert, collects, uses and protects your personal information. We are the data controller for the information described here, and we are registered with the Information Commissioner's Office (ICO), registration number ZC003891.

If you have any questions, please contact Kayleigh Wright at contact@keywrightproperties.co.uk or write to us at our registered office.
What information we collect
- Identity and contact details: your name, address, phone number and email address.

- Verification information: identity and address documents needed for anti-money laundering checks, and Right to Rent checks for tenants.
- Financial information: bank details for paying rent or fees, and for refunds or deposits.
- Tenant and guest information: referencing results, tenancy records and booking details.
- Accessibility needs: if you tell us about a health condition or disability so we can support you, we will only use it for that purpose and with your explicit consent.
- Communications: records of calls, emails, messages and letters between us.
- Technical information: your IP address and browser type, which our website host and font provider process when you visit our site.
How we collect it
Most of the information we hold comes directly from you, for example when you fill in our website form, call, email or message us, or sign an agreement with us. We may also receive information from others, such as referencing agencies, The Letting Experts, booking platforms, solicitors and other parties involved in a sale or tenancy.
Why we use it, and our legal basis
- To provide the services you ask for, and to take steps at your request before we enter into an agreement (contract).
- To meet our legal obligations, including anti-money laundering, Right to Rent, tax and redress scheme requirements (legal obligation).
- To send you new investment opportunities and updates, but only if you have opted in, for example to our investor list. You can unsubscribe at any time (consent).
- To run and improve our business, keep accurate records, prevent fraud and handle complaints or disputes, where this does not override your rights (legitimate interests).
We do not sell your information, and we will not share it with anyone for their own marketing without your consent.
Who we share it with
We only share your information where it is needed for the service, or where the law requires it. Depending on the service, this may include:
- The Letting Experts, for lettings and property management, including marketing properties on Rightmove, Zoopla and OnTheMarket.
- Service providers: tenant referencing agencies, tenancy deposit and deposit replacement schemes, inventory clerks, contractors and tradespeople carrying out work at a property.
- Booking platforms used for serviced accommodation, such as Airbnb and Booking.com.
- Parties to a transaction you have asked us to help with, such as solicitors, surveyors, mortgage brokers, buyers and sellers.
- Our own suppliers: our website host and form provider (Netlify), font provider (Google), email and IT providers, accountants, insurers and professional advisers.
- Authorities and regulators: HMRC, the National Crime Agency, the police, Property Redress or local councils, where we are required to.
Transfers outside the UK
Some of our suppliers, such as our website host, may process information outside the UK. Where they do, we make sure appropriate safeguards are in place, such as UK-approved data transfer agreements.
How we keep it safe
We use secure, password-protected systems, limit access to people who need it, and only share the information a provider needs to do their job. Please remember that no internet transmission is completely secure, so take care when sending sensitive documents by email.
How long we keep it
- Enquiries that do not go any further: up to 12 months.
- Client, tenancy, booking and transaction records: 6 years after our relationship ends, to meet legal, tax and anti-money laundering requirements.
- Investor list: until you unsubscribe.

- ask for a copy of the information we hold about you
- have inaccurate information corrected
- ask us to delete your information, where we no longer have a reason to keep it
- restrict or object to how we use your information
- withdraw your consent at any time, where we rely on consent
